Bus cards
Bus cards are available to students everyday from 11:35 - 11:50. The bus cards are in Ingunn’s office. In the box there is an index card for each student by Last Name. Students need to give you their current used bus card to get a new one. The number on the card given to you must match the number on the index card for that student and the card ride times stamped on the back must be to and from school only, no Saturday or Sunday rides or late night ride times.
Write the date that the card is returned on the line with it’s number. Pick up a new bus card from the front of the box and write the number on the next line of the index card with the date it is issued following. Write the student’s name on the card in the space provided.

Hello WHS Volunteers!Congratulations! You are receiving this notice because you have indicated an interest in being an extraordinary person and helping out WHS with covering the front desk and related tasks! Together we are going to set a new standard for collaboration and participatory management as well as learn some new skills and enjoy some accomplishments.
As we volunteers assume responsibilities for the front desk function I would like to see all involved parties participate in working out an optimal set of procedures and the documentation to support our activities. Based on a conversation with Jamie Hepner and a brief follow up with Anne Field who was on the desk on Friday, my thoughts and suggestions are as follows.
1. Develop a schedule and post it on-line and determine an optimal way to keep it up to date and manage scheduling
2. Have each volunteer log/document their activities and questions (both received and self-generated)
3. Develop a task list of all front desk activities and begin recording standard procedures for each task
4. Develop a referral guide from the question log/documentation (e.g. for Registration Questions see Pam Lien)
5. Progress the task list, standard procedures, and referral guide into a How to Guide/Procedural Handbook for new and experienced volunteers today and into the future.
I am establishing an on-line BLOG for collecting and organizing our materials, to support tasks like scheduling, and simplify communications. It will be available to everyone as they work the front desk as well as from home. To get us started Anne, Jamie, and I are scheduled for tomorrow (Monday, Dec.4th). By the end of the day I will have posted a schedule and will follow-up with phone calls to cover Tuesday, Wedn, etc. I will also be posting additional documentation to help start the other initiatives outlined above. Anne has offered to start in on procedures for the following tasks.
How to start up the front desk computer and log-in
How to answer the phone and transfer calls
How to remotely open the school door (buzz people in)
How to handle late passes and bus passes.
I will follow up shortly with a link to the new blog and a phone call. Please have your comments and ideas ready….

The computer automatically logs out after 45 minutes of inactivity. If it’s actually off, turn the power on with the circular switch on the lower right side - just behind the depression with the connectors. Log in as faculty - please check with Jamie, Pam, Ingunn or Christina for the password. The power cord has been known to come loose from the monitor, and it powers up with capslock on - so check that before entering the password.

The mail gets sorted into the mail slots on the west wall of the reception area, except for Registration or Financial mail addressed to Pam or Ingunn, which gets placed on their desks or handed to them.
For mail addressed to departments, direct as so:
Art:Theresa or Maggie
Band/Music Department: Christina
Bills/Financials: Ingunn
Drama/Theater Department: Deb
English Department: Anne
Enrollment: Christina
German: Kristin
Guidance: Jamie
Math Department: Bob
Principal: Christina

Generally, it’s acceptable to discard mass mailings that don’t know who they’re sending to - overloading the teachers with junk mail isn’t needful, please recycle in the box by the copier.

Line Assignment -When answering the phone, do NOT answer line 3 ringing unless lines 1 and 2 are in use; it’s the line for the fax. (If lines 1 &2 are busy, line 3 will switch to voice). There’s no need to press a button to answer the phone - it will activate the incoming line as you lift the handset. Most callers will know who they want to talk to - the phone extention list is posted just above the phone.
Transferring Calls - To transfer a call, press the “Transfer” button (second from the bottom, second from the right), and the 3-digit extention (either enter the digits or press the preprogrammed key) Wait until you hear a ring, then hand up your receiver. If you misdial the extension, press the “transfer” button again twice and redial the extension. The most common extensions are:
Attendance line: 250
Christina Beck: 202
Ingunn Hennrikssen 206
Jamie Hepner: 215
If it’s someone looking for information for enrollment, route them to Christina Beck, 202.
Open/Answer the downstairs door - Answer the phone (Watershed High School). Observe the requestor in the on-line camera and request identification (Name etc.). Press and hold the “6″ key.. ( Note: Maintaining a log of people students seeking entry is being considered)..

1. To write out a pass, write the student’s name, the date and time on one of the half pieces of paper stamped with “issued to student.” (time and date are available on the black telephone, clocks are also above the stairwell door across from the desk and there is a clock on the computer)
2. In the 3 ring binder is a spiral notebook titled “late pass log.” Write the student name, time, and reason for being tardy in this notebook. Each day should begin on a new sheet of paper and be clearly labeled with the date. If they bring a note, put it in Jamie’s mailbox.
