Watershed front desk basics: Dan Brady
There are two primary duties for working the front desk - answering the telephone and routing calls, and writing passes for students who are late.
Buzz Door
One side issue in answering the phone is to buzz people into the front door. You’ll be able to see them in the top frame of SecuritySpy. The door is activated by pressing ‘6′ on the telephone. Occasionally this does not work, so pressing a second time is necessary - by simply pressing 6, 6-and-hold, it can be done every time.
Passes
1. To write out a pass, write the student’s name, the date and time on one of the half pieces of paper stamped with “issued to student.” (time and date are available on the black telephone, clocks are also above the stairwell door across from the desk and there is a clock on the computer)
2. In the 3 ring binder is a spiral notebook titled “late pass log.” Write the student name, time, and reason for being tardy in this notebook. Each day should begin on a new sheet of paper and be clearly labeled with the date. If they bring a note, put it in Jamie’s mailbox.
Phone
When answering the phone, do NOT answer line 3 ringing unless lines 1 and 2 are in use; it’s the line for the fax. There’s no need to press a button to answer the phone - it will activate the incoming line as you lift the handset. Most callers will know who they want to talk to - the phone extention list is posted just above the phone.
To transfer a call, press the ‘transfer’ button (second from the
bottom, second from the right), then the 3-digit extention, then hang up the phone. If you misdial the extension, press the ‘transfer’
button again twice and redial the extension. The most common
extensions are:
Attendance line: 250
Jamie: 215
Ingunn: 206
Christina: 202
If it’s someone looking for information for enrollment, route them to Christina Beck, 202.
Booting/logging in on the computer:
The computer automatically logs out when idle for 45 minutes. If it’s actually off, turn the power on with the circular switch on the lower right side - just behind the depression with the connectors. Log in as faculty - see Jamie, Pam, Ingunn or Christina for the password. The power cord has been known to come loose from the monitor, and it powers up with capslock on - so check that before entering the password.
Bus cards
Bus cards are available to students everyday from 11:35 - 11:50. The bus cards are in Ingunn’s office. In the box there is an index card for each student by Last Name. Students need to give you their current used bus card to get a new one. The number on the card given to you must match the number on the index card for that student and the card ride times stamped on the back must be to and from school only, no Saturday or Sunday rides or late night ride times.
Write the date that the card is returned on the line with it’s number. Pick up a new bus card from the front of the box and write the number on the next line of the index card with the date it is issued following. Write the student’s name on the card in the space provided.
